Role Summary

To act as Personal Assistant (PA) to the Managing Director (MD), providing support by assisting in organizing and facilitating tasks to support their work in a fast moving environment

Main Duties

Plan the Managing Director’s diary and undertake general office organization

Deal with incoming mail/email and act as confidential secretary

Screening phone calls, enquiries and requests - handling them when appropriate

Draft Managing Director’s letters, board minutes, agendas and weekly meeting notes as required

Prepare papers, reports and PowerPoint presentations as necessary

Meeting and greeting visitors at all levels of seniority providing a welcoming environment for visitors and telephone callers

Arrange Managing Director’s attendance at conferences, exhibitions, shows and meetings

Carrying out background research and presenting findings

Organizing and attending meetings/events and ensuring the Managing Director is well prepared for meetings

Supporting the Managing Director in his/her roles

Liaising with clients, suppliers and other staff

Undertake specific projects

Occasionally deputizing for the Managing Director, making decisions and delegating work to others as necessary

Skills/Knowledge/Experience required

Excellent written and verbal communication skills

Good command of the English language, other languages are an advantage

Able to multi task and handle pressure

Previous experience in a PA/senior secretarial role is important - Minimum of 5 years work experience as a Personal Assistant or Executive Assistant is preferred

Knowledge and experience in using Microsoft office and outlook for Business (especially calendar features)

Excellent organizational and planning skills

Initiative and forward thinking

Willingness to be flexible in working arrangements

Self-confidence and maturity

Previous experience in the event or cultural industry would be preferred, though not essential

Hardworking and willing to make a commitment to the role

Enthusiastic, accurate, strong and assertive, adaptable, convincing and customer focused are traits required

Ability to maintain confidentiality
